Position Description:

We are presently seeking a receptionist to join our team. The ideal candidate is an excellent communicator, organized and a team player who can adjust to a variety of changes and challenges in a fast-paced environment.

Responsibilities:

  • Welcome clients in a professional manner and ensure the visitor experience is positive
  • Set-up and cleanup for client meetings & social events
  • Boardroom meeting set-ups (adjust chairs, wipe tables, stock supplies, etc.)
  • Weekly stocking of supplies in kitchens, boardrooms and supply closet
  • Assist with copy, print, scanning & filing
  • Managing appointments, meetings and conferences
  • Sending/Receiving couriers, deliveries, mail pick-up and inter-office delivery as required
  • Answer inbound phone calls, take messages and direct callers accordingly
  • Maintaining a clean and presentable reception area
  • Minute taking for designated meetings
  • Provide administrative assistance to various departments as assigned
  • Other duties as assigned

Requirements:

  • Ability to work independently and in a group setting
  • Experience with Microsoft Office (Outlook, Word and Excel)
  • Ability to adapt to different software and programs
  • Positive attitude for greeting customers in a friendly and warm manner upon arrival to the office or through the phone
  • Ability to effectively communicate both verbally and in writing
  • Excellent time management and ability to manage interruptions and changing priorities
  • Ability to lift and / or move boxes & furniture up to 50 lbs
  • Strong sense of integrity, professionalism, and commitment
